Definition: What Is a Guard Tour System?
The phrase "guard tour" comes from the scheduled route (the tour) a security officer walks. The system's only job is to turn that walk into data that a supervisor can audit later. It does not track movement continuously like a GPS tracker — it records discrete, verified arrivals at defined points.
How a Guard Tour System Works
The workflow is deliberately simple, because it has to be repeatable hundreds of times per week by staff who are not technicians. There are four steps.
- Checkpoint tags are installed on the route. Each tag carries a unique, unalterable ID number and is fixed to a wall, door frame, machine or fence at the location that must be checked.
- The guard identifies himself. At the start of a shift the guard reads his own Guard ID tag, so every subsequent read is attributed to that person.
- The guard reads each checkpoint in order. Touching or waving the reader at the tag records the tag ID plus the exact date and time from the reader's internal real-time clock. The reader confirms with an LED flash, a beep, or vibration.
- Data is downloaded and reported. The supervisor connects the reader to a PC by USB and uploads the records. The software compares actual reads against the scheduled route and flags missed checkpoints, late arrivals and incidents.
Download speed is fast — a USB link at up to 19,200 baud empties a full reader in a few seconds, and higher-capacity RFID readers connect directly by USB with no separate download cradle.
The Two Checkpoint Technologies Compared
Choosing a system mostly comes down to how the reader interacts with the checkpoint. There are two dominant approaches, plus a real-time variant for wide-area work.

An important detail for RFID deployments: because tags are passive (no battery) and waterproof, they can be sealed inside a non-metallic wall or embedded in equipment. A guard cannot bypass a checkpoint they cannot find or remove.
Guard Tour System vs. Paper Logbook
Most organisations switch because paper simply cannot prove anything. A handwritten log records what someone chose to write, at a time they chose to write it, in a location of their choosing. Nothing about it is verifiable.

What a Guard Tour System Is Not
- It is not continuous GPS tracking. A standard guard tour system records verified arrivals at defined points, not a second-by-second movement trail. If you need live location, you want a real-time or GPS-based variant.
- It is not a replacement for CCTV or access control. Those record what happened at a fixed camera or door. A guard tour system records that a human physically walked the route — including the places with no camera.
- It is not a disciplinary tool by design. Used well, it protects honest guards too: the record proves the patrol happened when a client claims it did not.
