The Five Components at a Glance

Vendors quote guard tour systems in bundles, but the bundles are built from the same five building blocks. Understanding them lets you compare quotes that otherwise look impossible to line up.

1. Checkpoint Tags (Location ID)

These are the fixed reference points. Each contains a unique, factory-programmed serial number that cannot be rewritten, which is what makes the resulting record trustworthy.

  • iButton / Touch Memory buttons: a memory chip sealed in a water-resistant stainless steel canister, about the size of a coin. Read by physical contact. Fixed with adhesive pads, mounting brackets or keyring tabs.
  • 125kHz RFID tags: passive, waterproof, available in nail, button, disc, keyring and cylinder shapes. Reading distance 0–5 cm. Can be surface-mounted or concealed inside non-metallic material.
  • Both types survive outdoor exposure and operate across a wide temperature band. RFID tags typically specify -20°C to +50°C; readers themselves are rated far wider, commonly -45°C to +85°C.

2. The Patrol Reader (Data Collector)

This is the handheld unit the guard carries. It is the most expensive single line item and the one that takes the physical abuse, so it is worth being specific about what you are buying.

  • Housing: aluminium alloy for entry-level models; stainless steel with a rubber outer shell for harsh environments. Rubber shells absorb the drops that crack plain metal housings.
  • Real-time clock: every read is stamped with date and time. Without an accurate clock the reports are meaningless.
  • Storage: from 3,600 records on iButton models up to 60,000 on 4Mb Flash ROM RFID readers. Match capacity to your download frequency — a 3,600-record reader downloaded weekly supports roughly 500 reads per day.
  • Feedback: LED flash, audible beep, or vibration. Vibration matters in noisy plants and at night, where light and sound get missed.
  • Battery: commonly a 3V CR123A lithium cell. Efficient designs reach 350,000 continuous reads per cell, which is around 18–24 months of normal shift work.
  • Environmental rating: look for fully waterproof construction and an operating range of at least -20°C to +60°C. Industrial-grade readers specify -45°C to +85°C.

3. The Download Interface

The link between reader and PC. There are two designs, and the difference affects both cost and field reliability.

  • Download cradle (iButton models): the reader drops into a powered base connected to the PC by USB. Transfer speed up to 19,200 baud — a full reader empties in seconds. One cradle serves unlimited readers.
  • Direct USB cable (RFID models such as the TS-G700): no cradle at all. The reader plugs straight into the management PC. Fewer parts to buy, fewer parts to lose.
Buying tip: a cradle is a shared resource. Ten guards on ten readers still need only one cradle at the supervisor's desk — unless you run multiple sites, in which case give each site its own.

4. Management Software

The software is where the raw reads become management information. Without it a reader is just a noisy stick. Before buying, confirm the following are included.

  • Route and schedule setup: define checkpoints, expected order, and the time window for each patrol round.
  • Exception reporting: automatically list missed checkpoints, late arrivals and out-of-sequence reads.
  • Guard performance summaries: completion rate and punctuality per guard, per shift, per period.
  • Incident logging: event tags let a guard record "door left open", "leak found" or "lights out" alongside the location read.
  • Export: PDF and Excel output for client reporting, audits and insurance documentation.
  • Licence model: confirm whether it is perpetual per-PC or subscription, and whether multi-site is supported.

5. Identity Tags and Accessories

  • Guard ID tags: a personal tag the guard reads at shift start, so every read is attributed to a named person rather than an anonymous device.
  • Event wallets / event books: a carrier of event tags ("fire hazard found", "unlocked door", "visitor escorted") so guards log what they saw, not just that they were there.
  • Holsters and belts: the single cheapest way to stop readers being dropped, lost or left in a vehicle.
  • Spare batteries and cables: CR123A cells and a spare USB cable per site remove the most common cause of a patrol gap — flat hardware at shift change.

Pre-Purchase Checklist

  1. Map your route and count the checkpoints you actually need.
  2. Count concurrent guards per shift — that is your reader quantity, plus one spare.
  3. Choose contact iButton or contactless RFID based on tamper risk and environment.
  4. Confirm software licence terms, language support and export formats.
  5. Add 10% spare tags and one spare reader per site to the order.
  6. Ask for a demo kit and test it on your real route before committing to volume.
